Hat bars are quoted per event, but we would rather anchor you with real figures than hide behind “contact us.” These are the same numbers our recaps were built on.

A staffed station at a Southern California event — hats, patches, presses, crew, setup and teardown — generally starts around this figure and scales with hat count and hours.

Orange County, Los Angeles, and San Diego events carry no travel fee. Las Vegas and other out-of-region dates add a flat $900 plus any venue-specific logistics.

WHAT MOVES THE QUOTE

Five levers, in order of impact

  1. Hat quantity. The blank buy is usually the biggest line. A Richardson 112 costs more than a foam trucker, and 400 hats cost more than 150 — but per-hat pricing improves with volume.
  2. Patch mix. Stock patch menus are the economical route. Custom leather or chenille patches with your branding add unit cost and about two weeks of lead time.
  3. Live hours. A two-hour cocktail window needs less crew time than a six-hour festival shift. Remember throughput: 60 to 80 hats an hour per station.
  4. Station count. Crowds over ~500 usually justify a second press or a second full station so the line never becomes the event's memory.
  5. Location. Local is flat simple. Convention centers add dock schedules and COIs; out-of-state adds the travel fee and freight planning.
